One Guest Journey from Reservation to Departure

Connecting every stage of a stay reduces repeated encoding and gives each department the context needed for a smoother guest experience.

A guest experiences one continuous stay, even when the property divides the work among reservations, front office, housekeeping, food and beverage, finance, and guest services. Operational systems should preserve that continuity.

Keep the stay connected

The reservation establishes the first operating context: dates, room requirements, rates, guest details, and special notes. At arrival, that information should support room assignment, registration, folio creation, and service preparation without unnecessary re-entry.

During the stay, authorized teams may need to understand room status, service requests, approved charges, or departure plans. At checkout, the property should be able to complete the folio and close the stay with a reliable record of what occurred.

  • Use a consistent guest and reservation reference across departments.
  • Make special requirements visible only to the teams that need them.
  • Record important handoffs instead of relying on memory or chat alone.
  • Keep folio activity connected to the correct stay and authorization.
  • Preserve useful history while following approved privacy and retention rules.
