Separate platform authority from property authority

A multi-property PMS should define access using more than a job title. The system needs to understand which properties, departments, records, and actions fall within a user’s approved responsibility.

  • Limit property users to their assigned operating scope.
  • Give group leaders consolidated views without unnecessary edit rights.
  • Separate finance, front office, reservations, and system administration.
  • Record role, scope, and configuration changes.
  • Review temporary and transferred access with clear effective dates.

Standardize definitions before consolidating reports

Group reporting is only useful when properties use consistent definitions for rooms, occupancy, revenue categories, guest movement, and operational status. Shared standards create comparability; property context explains the differences.

Good governance gives leaders visibility while keeping local teams accountable for the operation they manage.
